Programme before equipment
Document speakers, presentations, videos, audience interaction, remote contributors, cameras and every transition that changes room operations.
Room plan before screen plan
Confirm ballroom dimensions, ceiling height, stage, seating, aisles, entrances, service access and control positions together with sightlines.
Hotel operations in the schedule
Loading, service lifts, floor protection, overnight work, noise limits, engineering support, security, banquet handover and restoration belong in the plan.
One integrated technical design
Audio, displays, lighting, staging, cameras, communications, power and cable routes must share one room model and operating sequence.
Readiness before doors
Content checks, rehearsals, cue-to-cue transitions, backup paths and sign-off need protected time after installation.

CONFERENCE IS NOT
ONE NUMBER.
The same attendance can mean theatre seating with detailed presentations, cabaret tables with poor rear sightlines, a central stage, a live broadcast, multiple remote speakers or an awards programme with entertainment. Each format changes screen scale, audio distribution, camera positions, lighting, stage access and rehearsal needs.

ENGINEER THE
EXCEPTION.
A power cable beside an XLR lead does not automatically produce hum. Balanced transmission, cable geometry, shielding, source and receiver impedance balance, termination quality, signal level, current and the electrical environment all affect the result. Separation remains valuable because it removes an avoidable coupling opportunity before the room goes live.
Length increases exposure
Avoid long shared runs where practical, particularly for microphone-level or unbalanced signals and beside high-current feeds, dimmers, motors, transformers or switching equipment.
Cross near 90 degrees
When audio and power paths must intersect, a short near-perpendicular crossing reduces the length over which the conductors remain closely coupled.
Rejection is not immunity
Balanced inputs reject interference that reaches both signal conductors equally. Poor impedance balance, damaged shielding, incorrect wiring or compromised equipment can reduce that protection.
Route the complete system
Signal integrity must be coordinated with cable ramps, mechanical protection, connector strain, audience routes, venue finishes, water exposure, escape paths and access for inspection.
